Chapter 02 · My numbers
Two weeks in Japan cost me about
$8,000.
Here is every dollar.
A program fee is the first line, not the price. This is the whole stack for my Wayne State Japan: Automotive Supply Chain course — what it cost, what covered it, and when the money actually moved.

Both bars share one scale. The grey tail on the second is what I paid myself once the awards and my share of term aid were counted.

02 · Costs
The full stack
The program fee covered more than I expected: accommodation, daily breakfast, some group meals, most transport including the rail pass, the required excursions and travel insurance.
Everything in the list beside this was on top of that.
Read the inclusions before you budget. I nearly double-counted rail travel that the fee already paid for.
- Program fee Verified $3,200
Covers lodging, breakfast, some group meals, most transport including the JR Pass, excursions, insurance, admin.
- Application fee Verified $50
- Tuition and fees, 3-credit share of the term Estimate ≈ $2,347.93
Term charges of $10,174.37 for 13 credits, multiplied by 3/13. The course was billed as part of a full summer term, not as a separate line.
- Round-trip airfare My record $1,800
What I paid. Detroit to Tokyo fares vary a lot by booking date.
- Food beyond what the fee covered Estimate ≈ $420
About $30 a day for the 14 programme days. Breakfast came with the hotel and several dinners were group meals. The six days after the programme are counted separately below.
- Subway and local transit Estimate ≈ $30
Roughly ¥1,000 every three to four days on IC-card rides. The JR Pass was in the program fee.
- Airport transfers To confirm — TODO
TODO: Narita Express to Shinjuku on arrival; return leg covered by the JR Pass. Confirm fare.
- eSIM, 50 GB My record $35
Calls were free over FaceTime Audio and WhatsApp.
- LUUP e-scooter subscription My record $7
- Replacement suitcase My record $120
Mine broke on a city-transfer day. Budget for one surprise.
- The six days after the programme ended To confirm — TODO
TODO: lodging, food and transit for June 28 to July 3. The group flew home on the 27th; I stayed on to see the country by myself and flew back on the 3rd. None of this was covered by the programme fee or by any award, so it belongs in the out-of-pocket column once the amounts are confirmed.
- Known costs ≈ $8,009.93
03 · Funding
Two kinds of money
Trip-specific awards follow the trip. Gilman and the campus Global Experiences award were mine to spend on Japan, and all of both counts.
Term aid follows the semester. Pell and Senior Sprint posted against my whole 13-credit summer term, which held four courses. The Japan course was 3 of those credits, so about 23% of that money is honestly attributable to the trip.
Take only the study abroad course that term and term aid can cover far more of it. Stack other classes and it gets shared out. Either is fine — just know which one you are doing before the bill arrives.
- Gilman International Scholarship Verified trip-specific $2,500
Trip-specific. U.S. Department of State, administered by IIE.
- WSU Global Experiences Scholarship (OIP) Verified trip-specific $1,000
Trip-specific campus award through the Office of International Programs.
- Federal Pell Grant, Spring/Summer 2026 Verified term aid $3,697
Term aid. Posted May 21, 2026 against the whole 13-credit term.
- WSU Senior Sprint award Verified term aid $2,500
Term aid for full-time summer enrollment. Posted May 21, 2026.
- Trip-specific awards$3,500
- Term aid × 3/13≈ $1,430.08
- Left for me to cover≈ $3,079.85
04 · The term behind the course
Why tuition is a share,
not a bill.
There is no line on my statement that says "Japan". The course was billed inside a normal summer term, so the only defensible figure is its share of that term.
| Term line | USD |
|---|---|
| Tuition, 13 credits | $8,748.92 |
| University fees | $1,425.45 |
| Federal Pell Grant | − $3,697 |
| Senior Sprint | − $2,500 |
| Paid by me, three installments | − $2,977.37 |
| Term charges | $10,174.37 |
| Japan course share (3/13) | ≈ $2,347.93 |
The statement's credits come to $1,000 less than its charges. That gap most likely reflects the Global Experiences award posting elsewhere, but I have not confirmed it, so it is flagged rather than assumed.

Ask early: is this course billed on its own, or inside a term? The answer changes how much of your aid is really paying for it.
05 · Timing
The money arrived
after the bills did.
This is the part no budget sheet shows. I was accepted in January and the program payments ran through the winter. The Gilman letter came on April 30, and funds follow document approval by a couple of weeks after that. Term aid posted on May 21.
Every program payment I made came before a single award landed.
Ask two dates for every award: when it is decided, and when it pays out. Then line both up against your deposit and fee deadlines.
- Accepted into the program
- Program payment 1 — TODO
TODO: amount
- Program payment 2 — TODO
TODO: amount
- Program payment 3 — TODO
TODO: amount
- Program payment 4 — TODO
TODO: amount; possibly one more in April
- Gilman award letter received received $2,500
Funds arrive only after documents are approved, typically two to three weeks later.
- Pell Grant posted to term received $3,697
- Senior Sprint posted to term received $2,500
- Term payment plan, installment 1 paid $992.46
- Departed Detroit
- Term payment plan, installment 2 paid $992.46
- Term payment plan, installment 3 paid $992.45
06 · With hindsight
Four things I would
do differently.
Book the flight earlier
Detroit to Tokyo fares move a lot. At $1,800 it was my second-largest line after the program fee, and the one I had the most control over.
Budget one surprise
A suitcase broke on a city-transfer day and cost $120 to replace. Something always happens. Put $150 in the plan and be pleased if you do not spend it.
Choose the term on purpose
Taking three other courses alongside the trip spread my Pell and Senior Sprint across the whole term. That was right for my degree, but I found out on the statement rather than planning for it.
Ask when, not just how much
Every program payment I made landed before a single award did. Knowing an award is coming is not the same as having it when the bill is due.
